What to Include When Uploading a Parts List

A parts list is useful when it is complete enough to identify each line item. A small amount of preparation can make a multi-part inquiry easier to review.

Use one line per requested item

Include part number, brand, quantity and any internal reference that helps your team track the request. Keep alternate models or notes in separate columns.

Add application and delivery context

State the destination, required timing and whether new, used or refurbished options can be considered. This prevents the list from being treated as a generic catalog export.

Remove unrelated confidential information

Before uploading, check that the file contains only the information needed for the sourcing request. Clear photos or a readable export can help resolve unclear characters.

Build a parts list that can be checked quickly

A useful parts list contains one identifiable item per row. Include the manufacturer, full part number, description, quantity, condition preference, and any internal reference used by your maintenance team. Do not shorten a model number if the suffix appears on the label; suffixes can identify revision, connector type, voltage, or system compatibility.

Add context without making the sheet complicated

Include the system or rack where each item is used, the destination country, and the required delivery timing. If you have photos, name them so they match the relevant row. A note such as front label, rear connector, or installed rack helps the sourcing team interpret the image correctly.

Before sending

  • Check that every row has a model or a readable photo.
  • Separate confirmed requirements from questions for the sourcing team.
  • State whether new, used, or refurbished condition can be considered.
  • Include a working email address and phone or WhatsApp contact.
